The whole back office. One system. Sixteen weeks.
BuiltOS is the back-office operating system for residential construction companies. Admin, financial, and project operations rebuilt as one connected system, on an AI architecture built to know your business, installed done-with-you in a fixed 16-week build.
Built for residential construction companies from $5M to $20M and beyond: custom home builders, spec builders, and large-scale remodelers who are ready to stop patching and install real infrastructure. Earlier-stage builders on a strong growth path are considered case by case.
What you end up with
Your whole back office, working as one.
BuiltOS is the working machinery of all three areas of your back office, custom-built around how your company runs, with your team trained until they own every piece of it with confidence.
For most builders, one person wears all three of these hats. BuiltOS builds each seat clean, so the roles can split as you grow instead of breaking.
It all runs on the BuiltOS Business Brain.
A proprietary AI layer trained on your company, your jobs, and your workflows. It does more than accelerate each area below. It seams them together, so admin, financial, and project work stop being three separate efforts and start compounding.
The connective tissue of the whole system. And it is yours.
Financial operations
The spearheadJob costing you can trust
Every job's real cost against its estimate, with POs and COs tracked, so actuals never surprise you.
Draws and cash flow, managed
Draw packages that go out clean and a cash picture that reaches forward, not just backward.
Dashboards that answer questions
Managerial reporting built around the decisions an owner actually makes: margin, cash, and what needs your attention next.
GAAP-grade reporting
Percentage-of-completion financials your lender and CPA take seriously.
Administrative operations
The infrastructureGC & owner support
An admin engine built to carry the owner's load, not add to it.
Inbox, daily logs & cadence
Triage, briefings, and a weekly rhythm that keeps every day accounted for.
Document control & job files
One naming convention, one filing system, and a current set everyone trusts.
Compliance paperwork, handled
Permits, notices, COIs, licenses, and closeout packages, tracked before they become a stoppage.
Project coordination
The missing layerA project ops coordinator runs like a right hand to every project manager. At almost every builder we meet, this layer is missing entirely, and it is where the money quietly gets away.
Contracts, estimates & budgets
Connected from the first signature to the final invoice, so the money never drifts from the deal.
Change orders & POs
Scoped, approved, and billed, instead of eaten.
Selections, allowances & client updates
Decisions tracked, allowances watched, clients informed without the chasing.
Schedules, daily logs & punch lists
The field's story, current and distributed, from look-ahead to punch-out.
The build, phase by phase
Sixteen weeks, staged like any well-run build.
Every phase produces something your team keeps. Team Optimization Workshops punctuate the build so the people grow as fast as the system does.
Onboarding
Access, introductions, and the plan on the wall. Your BuiltOS Specialist is assigned, the portal is live, and the build is scheduled before anything gets touched.
Foundation: cleanup, catch-up, and setup
The books get caught up and cleaned up, however far back the mess goes, and it is part of the build, never a separate surprise quote. Your chart of accounts, cost codes, work in progress, and active jobs get rebuilt to residential construction standards, and your tech stack gets selected for your business, not from a template. By the end of Phase 1, the ground is level.
Workflow and process design
The way work moves gets designed on purpose, in three tracks: the admin engine, field operations, and financial operations. Purchase orders, change orders, sub compliance, draws, payroll, the monthly close. Every piece of work gets an owner, a path, and a backstop.
Then the seams between the tracks get built deliberately, which is where most companies quietly leak money and where most fixes fall apart.
AI architecture design
Your BuiltOS Business Brain gets built: a proprietary AI layer trained on your company, your jobs, and your workflows. AI clerks take on the repetitive load in the financial engine, and the human work gets named just as deliberately as the automated work, because the goal is a stronger team, not a smaller one.
Tech stack integration
The stack your business selected goes live and gets wired together. Field and office sync with no double entry, vendors and subs get cleaned up and migrated, and the system your team helped design becomes the system your company runs on.
The sixteen weeks are fixed on purpose. Faster is upside, the committed finish is four months, and a defined finish keeps the build honest.
Done with you, all the way through
We are in the nooks and crannies of your business, elbow to elbow with your team.
Nothing about BuiltOS is handed over a wall. Your people are in the work from day one, building the system they will run, with training and real reps until it holds under a normal Tuesday, not just a demo.
You watch it all move in the BuiltOS Client Portal: phases, milestones, and a direct line to your Specialist, in real time. And the whole team is 100% US-based.
Your BuiltOS Specialist
A dedicated Account Specialist and Systems Architect who takes you through every phase, from onboarding to graduation. One person who knows your whole build.
Elizabeth Jones, CPB, CCIFP
The CFO in the room for the whole build, working with your team to stand up a closed-loop finance function strong enough that renting a CFO brain becomes something your company no longer needs.
Your team
The most important people in the build. They help design it, they get equipped to run it, and they are the reason it holds after the sixteen weeks end.
The investment
Priced to your scope. Paid like a build.
BuiltOS is priced to scope, not off a rate card. The Financial Foundation Inspection defines what your build needs, the build defines the investment, and every dollar of the Inspection credits toward it.
Payment runs on a set schedule across the four months of the build, the way your own projects fund: staged, predictable, and finished when the build is finished. No ongoing fees are required to keep your system running, because it is yours.
How the build finishes
The Final CO.
Every build you deliver ends with a certificate of occupancy. Ours ends with a Certificate of Operation, and graduation has a gate, not a vibe: The Final CO is the first full month your team produces the complete monthly close and every deliverable themselves, with your Specialist watching hands-off.
When they clear it, the certificate is yours: tangible proof the system runs on your team's hands. Your first month inside The Chaos to Clarity Project is included as a soft landing, and advisory and community stay within reach from there. Independence, with us in your corner.
Straight answers
Questions builders ask us.
How long does BuiltOS take?
The build is fixed at sixteen weeks, four months. Faster is upside, and the committed finish is four months. A defined finish keeps the build honest and keeps your team the priority.
What does BuiltOS cost?
BuiltOS is priced to scope, not off a rate card. The Inspection defines what your build needs, the build defines the investment, and every dollar of the Inspection credits toward it. Payment runs on a set schedule across the four months of the build, and there are no ongoing fees required to keep your system running, because it is yours.
Is this just bookkeeping?
No. Bookkeeping keeps the books. BuiltOS builds the system your books live in, along with the admin engine and the project coordination around them, run by your own team. Historical cleanup and catch-up are part of the build, never a separate surprise quote.
Do we have to slow down our builds while this happens?
No. BuiltOS is installed around your live jobs. Your team is hands-on through the build, and the work is staged so the company keeps running while the system goes up.
Who actually does the work?
A dedicated BuiltOS Specialist takes you through every phase, Elizabeth Jones, CPB, CCIFP, is the CFO in the room for the whole build, and your team is in the work from day one, because they are the ones who will run it. The team is 100% US-based.
What software will we end up on?
Your tech stack is selected for your business during the build, not prescribed from a template before we know you. No cookie-cutter rollout, and no identical stack for every client.
Do you replace our CPA?
No. We do not prepare or file taxes, and you keep your CPA. What changes is what you hand them: clean, GAAP-grade, CPA-ready financials produced by your own team.
What happens after the sixteen weeks?
The build ends at The Final CO, the first full month your team produces the complete close and deliverables themselves. Your first month inside The Chaos to Clarity Project is included, and advisory and community stay within reach from there. Your team runs the system, and we stay in your corner.
Every build starts the same way. Ours does too.
The Financial Foundation Inspection looks at your own numbers and shows you exactly what your build needs. Evidence, not a pitch, and every dollar credits toward BuiltOS.
